Cancellation Policy

When you can cancel free of charge, when you cannot, and what happens if we cancel. This policy forms part of the Tour Participation Agreement.

If you cancel

7 days or more before departure Free. Cancel from your booking link or by email and you are refunded in full.
6 days before departure or later The full amount is charged. No refund is given.

Cancelling one driver from a group booking follows the same schedule as cancelling the whole booking, applied to that driver's share.

Cooling-off does not apply

Under Japanese law, the cooling-off right does not apply to mail-order sales, which is what an online booking is. The schedule above is what governs.

Changing your date or time

To move to another date or departure time, email us at the address under "How to cancel" below, quoting your reservation code. If we receive your request by 23:59 JST 7 days before your original departure, the change is free (any price difference is settled as described below), and the cancellation schedule then runs from your new departure. Requests received after that are accepted only if we agree, depending on availability. In that case your original booking is treated as cancelled with the full cancellation fee, and the amount you paid is applied to the new booking. If you later cancel the new booking, we refund any price difference you paid for a change made after that deadline; the rest of what you paid is not refunded. If you do not arrive, no refund is given.

Departure prices differ by time of day, from ¥7,000 to ¥16,000 per driver. If you move to a more expensive departure, the difference is payable; if you move to a cheaper one, the difference is refunded. We confirm the amount and how it is settled when we reply to your request. However, if a change made after that window moves you to a cheaper departure, the difference is not refunded.

Not arriving, or arriving late

If you do not arrive for your departure, the full amount is charged and no refund applies.

Tours leave at the scheduled time. Tour length depends on the course you book (Speed Run/Shibuya Highlights: 60 minutes in total (around 15 minutes of briefing and 45 minutes of driving). Short Run: 45 minutes in total (around 15 minutes of briefing and 30 minutes of driving)). If you arrive after the briefing has started, we may not be able to include you, because you would be driving on public roads without having been briefed. If we cannot include you, no refund applies.

We recommend arriving 30 minutes before your departure time. If you arrive closer to departure we will still check you in, but your time on the course may be shortened.

If your documents are not accepted

If you arrive without the originals we require, or the documents you present are not valid for driving in Japan, you cannot drive and no refund applies. This is why we ask you to upload your documents at least 48 hours in advance — so a problem is found while you can still fix it, not at the counter. If we cancel

Weather

Light rain: tours run as scheduled. If you would rather not ride in the rain, you may move to another date free of charge.

Severe weather — heavy rain, storms, lightning, or an official warning in effect: we cancel, and you choose between moving to another date and a full refund.

Other reasons

If we cancel for a road closure, an incident on the route, a vehicle fault, police direction, or any other reason attributable to us, you receive a full refund or a free reschedule, whichever you prefer. If a tour is cut short for those reasons, we refund the portion of the fee corresponding to the driving time lost.

We do not refund travel, accommodation or other costs you incurred in order to attend.

How refunds are made

Refunds are returned to the card used for the booking. The time it takes to appear on your statement depends on your card issuer and is outside our control.

Bookings made through a booking platform

If you booked through Viator, Klook, GetYourGuide or a similar platform, that platform's cancellation and refund terms govern your booking, and you cancel through them rather than through us. Where their terms differ from this policy, theirs apply.

How to cancel

Use the personal booking link shown on your confirmation page (you can also look your booking up at /my with your reservation code and email), or email info@scramblekart.com with your reservation code. Cancellations take effect when we receive them — we go by the time your message reaches us, in Japan Standard Time, not by when you sent it.
