What we collect, why, who sees it, and how long we keep it. This policy forms part of the Tour Participation Agreement.

We do not ask for information we do not need. In particular, we do not collect health information beyond what you volunteer about a condition that affects your ability to drive, and we do not hold your card number — that stays with the payment provider.
We never use your licence, passport or other identity documents for advertising or marketing. If you tick the optional marketing box, we may email you offers and news using your contact details. Tour photos and videos may be used to promote the business as described in the Tour Participation Agreement — you can opt out at the briefing at no cost, and ask us afterwards to stop using an image of you.
These are the most sensitive things you send us, so they are treated separately. They are used only to verify eligibility to drive, and are visible only to staff who carry out that check or who need them for an incident. They are never used for marketing, and the images themselves are never passed to booking platforms or any other third party — the sharing described in section 5 covers booking information only, never these images.
We delete them 180 days after your tour, unless an open incident, claim or legal obligation requires us to keep them longer.
We do not otherwise disclose your information to third parties without your consent.
Our systems are operated in Japan. Where a payment provider or booking platform processes data outside Japan, that transfer is governed by their own terms, which you accept when you use them.
This site does not use analytics or advertising cookies, and we do not send your browsing data to third-party tag providers ourselves. See below for one exception: an embedded Google Maps map. If this changes further, this section will be updated before the change goes live.
You can block or delete cookies in your browser. Blocking the session cookie will prevent the booking process from working.
Access to booking records and uploaded documents is restricted to staff who need it, and administrative access is logged. Your booking link is a long random value that cannot be guessed from your name or reservation code.
No system is perfectly secure. If a breach occurs that is likely to affect your rights, we will notify you and the Personal Information Protection Commission as required by law.
You may ask us to tell you what personal information we hold about you, to correct it if it is wrong, to stop using it, or to delete it. Email info@scramblekart.com from the address you booked with, or include your reservation code, so we can identify you without asking for further documents.
We respond within a reasonable period. We may need to keep some information despite a deletion request where an open incident, an insurance claim, a tax obligation or a legal requirement means we cannot delete it yet — if so, we will tell you what we are keeping and why.
Visitors from the EU, the UK and other jurisdictions with their own data protection laws may make the same requests through the same channel; we handle them under this policy and under Japanese law, which is what governs this service.
We may update this policy. The version number and date are at the foot of this page. If a change materially affects how we handle information we already hold about you, we will tell you by email.
